Your role as a Private Clinic Receptionist at Hatt's

Your role will be to provide a gold standard level of service for our patients.

Your daily tasks will include:

  • Making sure the clinic is running like clockwork
  • Managing the responsibilities to ensure we offer a gold standard level of care to our patients
  • Managing all patient enquiries by phone and email and directing them to the appropriate service
  • Creating a tidy and welcoming environment for our patients
  • Supporting your colleagues in clinic
  • Managing project work alongside running the clinic and other administration duties

We run very successful, busy clinics so you will often be working with another team member on front of house throughout the day. Whether you are with someone else or working by yourself you will work without supervision on a day-to-day basis, giving you the responsibility of running the clinic and the autonomy to make decisions. This can provide great job satisfaction and fulfillment for the right candidate.

Hours 40 hours per week (part time hours considered)

What will I achieve in my first 12 months? You will start with a structured 12 week induction plan, designed to ease you in and equip you with the skills you need to be effective in the role.

You’ll be taught how to deliver our gold standard service, ensuring our patients are always at the forefront of your decision making. In addition, you’ll learn how to use our Private Practice Software to manage diaries and appointments, how to take payments and how to manage customer accounts.

In this role, you will have the autonomy and independence to make decisions and find solutions and you’ll have a real influence over the standard of service we deliver. You’ll be trusted to carry out your job to the best of your abilities and given plenty of support, training and development to ensure you have the skills you need to do that.

As you progress through your induction plan and your confidence in the role grows, you may decide to get involved in additional projects, or absorb new responsibilities based on your strengths and interests. If you have the motivation and drive to develop, we will provide the support and opportunity to help you get to where you want to be.

Finally, let’s not forget that you will also be attending a social event or two (or three..) which will help you build relationships and have fun.

Okay, I like the sound of this! What do you need from me? You’ll need:

    • At least 3 years of customer service experience
    • A full driving license and access to your own vehicle
    • Exceptional people skills
    • A genuine desire to help people
    • To enjoy working as part of a supportive team (and making the most of our social calendar)
    • To welcome and encourage feedback and coaching in order to develop your skills
    • An ability to stay calm and work efficiently under pressure
    • The energy and drive to help us deliver our mission – to keep people moving and active

FAQs

We try to keep your hours as consistent as possible. There may be circumstances where you may need to adapt your hours but this will be discussed with you and with plenty of notice.

Yes, we contribute up to 3% and we encourage you where possible to contribute also.

Annual leave at Hatt’s is generous because we appreciate how hard everyone works and how important rest and recuperation is. You will receive 6.5 weeks of annual leave (including bank holidays) which increases to 7.5 weeks the longer you are with the company.

There is free parking available within a 5-minute walk to our Frome and Devizes clinics. The is a pay and display car park right outside our Marlborough clinic and free parking around a short walk away from the clinic.

Our Patient Services team don’t wear a uniform. However, we do have a dress code that is smart and professional wear.

It depends on your role within the company. As a health and movement clinic, we need to be able to offer availability before and after work and sometimes at weekend to accommodate the needs of our patients. We recognise that you have personal commitments, and we always take these into consideration as much as we can when putting your diary hours together.
